Maintaining Subscribers

Subscribers are individuals who are registered with the ValueAdmin system. All subscribers are classified by company and you will only see the subscribers for your company.
To manage a subscriber, click on the “Edit Subscriber” link in the corporate administration menu. This will display the “Edit Subscriber Screen”.

To add a new subscriber to the list, click the “New” button, or click on "Copy" if you have an existing subscriber with similar details (This is the quickest way to add a user, as you only need to change a few items!)

The ID will be filled in automatically. Click in the “First Name” field and type the first name of subscriber, followed by the last name and email address, (which will be used as the user ID for the subscriber).

Next, select the location, job description and industry for the subscriber. Note, if the location, job or industry are not on a list, choose “… Other” for the category. You can always go back and add the classification and then modify the user if you believe that the new entry will be common.

In general, the membership type will be “corporate subscription”. Each company should have at least one subscriber who is a “corporate administrator” for that company.

Most people will get the newsletter in HTML. This is the default setting and only needs to be changed if the subscriber requests a change.

Select the gender and enter the date of birth.

The company details are optional and in general will only be entered here if an individual subscriber is based at a branch office of a corporate subscriber.

You can manage the articles, procurement types and tool types that a subscriber sees. The default for these is “All”. If you select “None” for an area, then the subscriber will not have access to any of these features. Otherwise, you can select some of the types. To select multiple items, hold the “Ctrl” key on your keyboard and click on each item that the subscriber can access. (On a Macintosh, hold the “Shift” key.)

Managing the procurement categories means that the company can effectively allocate permission to some users to purchase certain types of good. Users who don’t have access to a category will not be able to buy (using company accounts) from those suppliers. This helps control costs and purchasing practices.

You can also determine which news feeds the subscriber sees.

Finally, enter the subscriber’s password and click “Submit”.

To copy a subscriber, scroll through the list until you find the subscriber to copy and click on the subscriber. Then click “Copy”. You can then modify the details of the new subscriber. This allows you to quickly create a group of subscribers in a company with the same access privileges and profiles and simply change the personal details. Note that the name, email address, gender, date of birth and password will not be copied.

To modify a subscriber, scroll through the list until you find the subscriber to modify and click on the subscriber. Then click “Edit”, make the changes you need and then click “Submit”.

To delete a subscriber, find the subscriber and click “Edit” then scroll to the bottom of the screen and click “Delete”. You will be prompted to make certain that you want to delete the entry. When the prompt appears, click “OK”.

Once you have made a change, you will get a message that the country list has been updated. You can now click “ValueAdmin Administration” to return to the administration menu.


Managing Birthdays

The ValueAdmin system includes a “birthday reminder” which generates an email to the company administrator to remind you of the birthday of each subscriber (and others who they want to remember).

The system makes it easy to buy a birthday cake or other gifts and ensures that staff can be recognised on their birthday. You will know that your purchase has been made with a high quality supplier and that the order will be delivered as arranged. The idea is to have every staff member on the list so that they can all be recognised on their birthday.

To edit the birthday list, click “Edit Birthday” in the corporate administration menu. This will display the “Edit Birthdays” screen.

To add a new birthday, click the “New” button.

Enter the person’s name and date of birth and click “Submit”.

As the ValueAdmin administrator, any birthday that you add will be classified under “ValueAdmin”. For a corporate administrator, any birthday added will be classified under the company.

To modify a birthday, scroll through the list until you find the birthday to modify and click on the birthday. Then click “Edit”. In the “Name” and “Birthday” fields, make the changes you need and then click “Submit”.

To delete a birthday, find the birthday and click “Edit” then click “Delete”. You will be prompted to make certain that you want to delete the entry. When the prompt appears, click “OK”.

Once you have made a change, you will get a message that the country list has been updated. You can now click “ValueAdmin Administration” to return to the administration menu.
